Booking Terms & Conditions
Updated 18 September 2026.
These terms describe the booking arrangements supplied by Tartaruga Safaris Limited. Your written itinerary, quotation and confirmed booking details identify the services purchased and any specifically agreed variation.
Your booking and our details
The booking is with Tartaruga Safaris Limited, P.O. Box 14006, Arusha, Tanzania. Contact info@tartarugasafaris.com or +255 667 767 553. Enquiries and draft quotations do not themselves reserve services. We confirm the agreed programme and available reservations in writing.
Prices and the written quotation
Prices are in USD unless stated otherwise. A per-person price depends on the stated dates, group size, room sharing and inclusions. TZS or EUR payment may be accepted at the exchange rate agreed for that payment. Flights, permits and other services are included only when expressly listed. Any payment-processing fee is disclosed before payment.
Safari deposits and balances
The standard safari deposit is 20% of the total price. A further 50% of the total is due 30 days before arrival. The final 30% is due seven days before arrival, or may be paid in cash on arrival if agreed in advance. For a booking made within these periods, the confirmation states the immediate amount due. Alternative arrangements require written agreement.
Climbing deposits
The agreed climbing deposit is USD 100–200, with the applicable amount and whether it is charged per person or per booking specified in the quotation. The confirmation also states the remaining balance and due dates. Do not assume the safari percentage schedule replaces a separately agreed climbing schedule.
Written cancellation notice
Send a cancellation to info@tartarugasafaris.com as soon as possible and request acknowledgement. Cancellation timing is measured by the number of calendar days before the agreed arrival date in Tanzania when written notice is received. Keep your correspondence as a record.
Cancellation charges
For accommodation and related services under the standard policy: cancellation 40 or more days before arrival has no cancellation charge; 21–39 days before arrival incurs a 50% charge; 20 days or fewer incurs a 100% charge. Any separately booked service with different supplier terms must be identified before you purchase it. The unused portion of a safari or tour is not refundable, subject to any rights that cannot legally be excluded.
Refund handling
We calculate any refundable amount against the confirmed booking, payments received and applicable disclosed terms, then explain the calculation. Any distinct supplier restriction must have been disclosed before booking. Do not assume an undisclosed charge applies merely because a third party supplies a service.
Changes to the programme
Tell us promptly if you want to change dates, names or services. We check availability and explain any resulting cost before confirming the change. Weather, access or supplier disruption can require an alternative; we communicate material changes and the available options. Hotels and camps may be substituted when necessary, with the proposed alternative explained.
Children and special arrangements
Our stated safari policy is that children aged 0–4 travel free. The quotation identifies the child’s accommodation, meals and included services, and any separately booked items. Supplier age limits still apply to particular activities. Share children’s ages and practical requirements before booking so the arrangements are clear.
Transport and meeting points
The quotation states the starting and ending location, transfers and transport type. Any requested vehicle or special boarding arrangement must be specifically confirmed. Follow the guide’s instructions and park rules. Wildlife sightings, road conditions and summit success cannot be guaranteed.
Travel documents, health and insurance
Travellers are responsible for obtaining the documents and permissions needed for their nationality and itinerary and for seeking appropriate health advice. Arrange insurance suitable for the actual activities, including relevant altitude, cycling, pregnancy, medical treatment and evacuation needs. We can assist with information, but insurers and authorities determine their own requirements.
Your belongings and feedback
Keep valuables and important documents appropriately secured. Tell your guide or our team promptly about a problem so we can try to resolve it during the trip. Written feedback after travel helps us review the service. Nothing in these terms removes any consumer right or liability that cannot lawfully be excluded.
Special offers and optional services
Marathon entry is complimentary only when expressly confirmed with a specified race category. Cycling single supplements, optional activities and other extras are included only when written into the quotation. Existing clients pay no bus-booking service fee; other customers pay USD 25 per group booking, with tickets and carrier charges separate.
